How to clearly describe your need to find the right person

Practical tips

"Hello, I need someone for a small issue." This message starts with the best intentions. And it comes back with three questions, two days later. A vague request wastes everyone's time: yours, as you wait, and the service provider's, who doesn't know if they can help you. Rest assured: you don’t need to write a novel. A few well-chosen details are enough for the right person to understand immediately and respond with a concrete proposal.

The three basic pieces of information: the service, the location, the timing

If you only remember one thing, let it be this. A good request answers three questions right away.

The service: what exactly?

"DIY" doesn’t say much. "Assembling a two-door flat-pack wardrobe" says it all. Name the task, not just the field. If you don’t know the right term, simply describe what you see: "water is leaking under the sink when I turn on the tap" is better than a poorly chosen technical word.

The location: where, and under what conditions?

The municipality is enough to start with. It’s what allows you to find someone near you and avoid long trips. Then add what affects the work on-site:

  • the floor and whether there’s a lift (crucial for a move);
  • ease of parking;
  • access to the garden, cellar or attic;
  • whether there’s a pet at home.

The timing: when, and how urgent is it?

"As soon as possible" isn’t always helpful. Instead, say: "ideally Saturday morning, otherwise a weekday evening after 6 pm". If it’s truly urgent, say so clearly. If it’s regular, specify the frequency: once a week, every two weeks, during school holidays…

Details that prevent misunderstandings

Once the three basics are covered, a few extra details make the difference between a vague response and a fair price.

  • Size or volume. The number of rooms for cleaning, the approximate garden area, the number of boxes for a move.
  • Materials. Do you already have the furniture, paint, or products? Or does the service provider need to bring them?
  • What’s included. For a garden: should green waste be removed too? For cleaning: are windows included?
  • Your budget, if you have one. Even if it’s just an estimate, it helps the service provider suggest a suitable solution.
  • Your constraints. An allergy, a baby napping in the afternoon, a preferred language.

These details also protect you when it comes to pricing. The clearer the scope, the fewer surprises there are. We discussed this in our article on hidden costs in quotes.

Why a photo makes all the difference

A photo is often worth ten lines. It allows the service provider to assess the scale of the job, prepare the right materials, and sometimes give you an initial estimate without visiting.

A few tips for a useful photo:

  • take a wide shot, then a close-up of the issue;
  • photograph in daylight if possible;
  • for an appliance, also photograph the plate with the brand and model;
  • for flat-pack furniture, the instructions or the box label are often enough.

Before sending, check that no personal information is visible: mail with your address, documents, family photos on the wall.

5 examples of ready-to-copy requests

Adapt them to your situation by replacing the elements in brackets.

Cleaning

I’m looking for help with cleaning a [2-bedroom] apartment in [Tournai], [every two weeks], ideally [Tuesday morning]. Kitchen, bathroom, floors and dusting. Products are provided. There’s [a cat].

Furniture assembly

I need help assembling [a two-door wardrobe and a chest of drawers] from a flat-pack, bought in-store, in [Mons]. Apartment on the [2nd floor with a lift]. Available [Saturday or Sunday]. Photo of the boxes attached.

Garden

I’m looking for someone to mow [around 300 m²] of lawn and trim [a 10-metre hedge] in [Namur], [once a month from April to October]. Green waste removal desired. A lawnmower is available on-site.

Minor plumbing

The kitchen tap is leaking at the base when turned on, in [Liège]. Photo attached. Not urgent but needs fixing [this week]. I’m available [after 5 pm].

Pet sitting

I’m looking for someone to walk [my dog, a calm 6-year-old Labrador], [twice a day] in [Charleroi], from [12 to 19 August]. He gets along well with other dogs.

Mistakes to avoid

  • Being too vague. "I have an electrical problem" will always lead to more questions. Describe what’s happening and how long it’s been going on.
  • Putting everything in one request. If you need cleaning, hedge trimming and a chandelier installed, three clear requests are better than one messy message: they’re not the same people.
  • Hiding an important constraint. Discovering a 4th floor with no lift on the day is a price that changes and a day that starts badly.
  • Exaggerating urgency. If everything is "urgent", nothing is. And a real emergency often costs more.
  • Forgetting to proofread. An incomplete address or wrong date is enough to ruin the appointment.

How Pambe helps you

On Pambe, you can write your request in one sentence, just as you’d explain it to a friend. The search includes the targeted profession, location and urgency, without forcing you to browse categories. You don’t need to create an account to search: you immediately see profiles near you, which you can compare, with prices and availability when the service provider provides them.

When you post a request, you can specify the title, description, location, urgency, an indicative budget and add photos. Your request isn’t published in the directory: it’s sent to the service providers you’ve contacted to respond. And if you like a profile, you can contact them directly, even without an account. To then choose the right person, our tips for finding a trustworthy service provider take over.

Describe your need like you would to a friend on Pambe: it’s with no commitment.
